- Print it and scan it: print the schedule as a PDF and hang it up – the QR code is printed on it. Staff scan it with their phone, type their name and see only their own shifts.
- Always up to date: when you change the schedule, the phone view updates automatically (your device briefly needs internet for this).

Activate and get started
- Activate once: The first time you open the app, enter your name and the activation number from your order email. This needs the internet once, briefly.
- 1 purchase = 1 main device. Your team joins by QR code. New device? Sign out the old one in Settings and activate the new one.
- About once a month the app briefly confirms your licence when you are online. Only the number is checked – your data stays on your device.
On a phone or tablet? Open app.propraxisplan.de/team/ and tap “Add to Home Screen”. Then activate it with the activation number from your order email.
Frequently asked questions
Do I need technical skills?
No. You type names and numbers and click buttons.
Do I need the internet?
Only briefly: once to activate, about once a month for the licence check, and for Secure Sharing (QR code). Everything else works offline.
How is this different from an employee schedule template in Excel?
A spreadsheet template shows you the schedule. Team Planner checks rest periods, breaks and coverage while you plan, keeps count of hours and remaining leave, and comes with a time clock. You still get the Excel file as well.
Do I have to record my staff's working time?
That depends on your country. In Germany it has already been required since the Federal Labour Court ruling of 13 September 2022. In 2026 the German labour ministry published a draft law: recording is to be electronic as a rule, smaller businesses are to get longer transition periods and very small businesses may keep using paper. It has not been passed yet (status: October 2026). Team Planner records start, end, breaks and duration per person and exports timesheets as PDF and Excel. If in doubt, check with your accountant or a lawyer whether that is enough for your business.
Can several staff members see the schedule?
Yes. Print the schedule or send the invitation as a link – everyone scans the QR code with their phone. Up to 3 phones per invitation, and you can create as many invitations as you like.
Can I bring over my staff list?
Yes, from Excel or CSV. You see which column is which first, and only “Apply” saves.
Are the rules legally binding?
Country presets are simplified guide values. You can adjust every rule. Please check collective agreements and special rules yourself.
Where do I find the activation number?
In your order email, under the activation number. Enter it together with your name the first time you open the app – it is your personal key.
What if I change my computer or phone?
Save a backup in the app, sign out the old device in Settings and activate the new one with the same number. Then load the backup – everything is back.
Can I use the app in my business?
Yes. The licence covers you and your own business, and you add your team by QR code. Only passing it on and reselling are not allowed.
Are there any extra costs?
No. Buy once, no subscription. Updates are free and your data carries over.
